Source data verification

Transcript:

  • Study monitors performing source data verification are able to mark steps and phases as verified. 
  • Data can be verified at the phase, step or field levels.
  • To mark a step or phase as verified:
  • Open the record where you want to perform SDV or any other data verification that is relevant for your study.
  • In the left panel, click on the phase or step that you want to verify. 
  • Click on the three dots next to it and select ‘Mark as verified'.
  • If there is only one verification type defined in the study, this will be automatically selected. 
  • If there are two or more, then you will need to choose which type of verification you want to use. 
  • For custom defined verifications, you can select whether the verification will be dropped if data is modified in that step/phase.  
  • For source data verification, the verification will be dropped by default.
  •  Click ‘OK’ to save the verification or ‘Cancel’ to return to the data entry view.
  • In a record, each verified step will be marked with a green banner indicating the date and time of verification as well as the name of the user who performed verification.
  • An SDV mark will appear next to each verified phase or step.
  • If you wish to mark a field as verified, navigate to the desired field and select the cogwheel next to it. Click 'SDV field'.
  • The SDV mark will appear next to each verified field.
  • You will notice that a banner does not appear until all fields within the step have been verified.
  • For custom verification types, select ‘Custom Verification’.
  • If there are two or more, then you will need to choose which type of verification you want to use. 
  • For custom defined verifications, you can select whether the verification will be dropped if data is modified in that step/phase.  
  • For source data verification, the verification will be dropped by default.
  •  Click ‘OK’ to save the verification or ‘Cancel’ to return to the data entry view.
  • If Other or custom type of verification is used, an icon with VER mark will appear next to a phase or step which was verified.
  • If two users need to verify the same form, the banner will appear twice. 
  • The banner has the option to 'remove' the verification - this can be done only by the user who performed the verification
  • Reports that are marked verified have the SDV icon when attached to a phase.
  • After a form is verified, if a user attempts to change data, they will receive a warning and any data modification will cause the form verification to be dropped. 
  • It is also possible for the study admin to set up email notifications whenever form verifications are dropped, to ensure that the appropriate contacts are notified of changes made to verified data. 
  • Dropped verifications on a phase or step for a record are listed in the record’s Monitoring tab, Verifications subtab: 
  • These dropped verifications for all records are available in the general Monitoring tab.
  • It is possible to export data verifications when exporting the data.
